In the following sections we describe how we process personal data provided by you - the applicant -in the course of Qubiqa's recruitment process, or that Qubiqa may collect as a part of said recruitment process, including the normal practice we follow.
When you submit a job application to Qubiqa A/S (hereinafter called "Qubiqa"), we have a legal obligation to inform you of our processing of your personal data, we therefore inform you of Qubiqa's policy for the processing of personal data. This applies whether you submit an unsolicited application or apply for an advertised position.
How Qubiqa processes personal data and contact information
The personal data you submit in connection with your job application or during the course of a recruitment process are only processed and stored for use in connection with the recruitment process and a potential, subsequent employment process.

Qubiqa processes your personal data with the strictest confidence and in compliance with the current Danish Data Protection Act.
Transfer of personal data to a third party
In cases where we use external partners for the recruitment process - including recruitment agencies, suppliers of personality tests etc. - this will be stated in the job advertisement.
Transfer of your personal data to a third party takes place in accordance with a written agreement with the party in question that complies with the rules and regulations in force at the time the agreement is entered into, including requirements regarding confidentiality and deletion of information on completion of the recruitment process.
Reference and background check
As Qubiqa has a legitimate interest in finding the candidate best suited for a job with the company, we have the right to check references from previous employers, educational institutions or other relevant parties. Therefore - during or after the first interview - you may be asked to give us your consent to perform such a reference/background check in order to move forward to the next step of the recruitment process.
In certain situations, depending on the position in question, we may perform background checks by seeking information about you through public sources such as LinkedIn, Facebook, Google, the Danish CVR-register etc. if we believe such information to be relevant in relation to the position you are applying for. We will do this based on a legitimate interest in ensuring that we hire the best candidate in terms of professional qualifications and also personality-wise.
During the job interview, or on request, you have the right to ask us to disclose which information we have collected about you.
Qubiqa will not without your prior, express consent collect sensitive personal information about you (including information about health conditions). In connection with your application or no later than at the first interview, you are urged to disclose any health conditions that will affect your ability to perform the job you are applying for to a considerable degree. In fact, in accordance with the Danish Health Information Act, you have a legal obligation to disclose such information.
In connection with the recruitment for certain positions of trust, it may be relevant to collect information from a third party, for instance, information about your financial situation from a credit rating agency. If this is relevant in relation to the position you are applying for, we will not collect such information without your prior, express consent.
Storage of personal data
Qubiqa stores information about job applicants with external suppliers within the EU/EEA under our written data processing agreements that comply with the current data protection regulations. Qubiqa controls that the data processors we use have the required data security.
The information is stored and processed in a way that ensures that only the person responsible for HR and persons directly involved in the recruitment process have access to your information.
Personal data storage period
Qubiqa stores your application and other information until we have evaluated your application, and, in case it relates to a specific, advertised vacancy, until we have completed the recruitment process, but not for more than 6 months. If you are hired by Qubiqa, your application will be stored for the duration of your employment with the company.
If you have taken a personality test as a part of the recruitment process, the result of this test will be stored for 6 months from the day the test was performed, unless you consent to a longer storage period.
If you are not hired for the position you applied for, but we believe that we may need a person of your qualifications within a foreseeable future, we may ask for your consent to store the application for more than 6 months.
In connection with Qubiqa's processing of your personal data, you have the following rights:
- The right of insight into which of your personal data are processed by Qubiqa. We will reply within a reasonable time, but no later than a month after receiving your request. You must contact us, if you wish to request insight into the data.
- The right to rectify incorrect data.
- The right to have data deleted that are no longer relevant - for instance, if you choose to withdraw your application.
- The right to object to the further processing of your personal data.
